Malhaar Academy came to us with a growing operation spread across multiple tools and workflows. We designed and built a unified platform covering students, teachers, scheduling, payments, invoicing, communications, and live classes.

The challenge

A growing academy, held together by disconnected tools.

Enrolment lived in one tool, scheduling in another, payments in a third, and daily coordination in chat threads and spreadsheets. Every new student added more manual work for the team.

The academy needed one system built around how it actually operates — across two countries, multiple teaching formats, and a growing roster of students and teachers.

The thinking

Map the operation first. Then build the platform.

Before writing code, we mapped every workflow — how students enrol, how classes get scheduled, how teachers are paid, how parents communicate with the academy. That map became the product architecture.

We prioritized the workflows with the highest manual cost first, so the platform started saving the team time from its first release rather than after a year-long build.
